Privacy Policy
Effective date: October 13, 2026. Netix Medical Billing (“Netix,” “we,” “us,” or “our”) operates netixmedicalbilling.com (the “Site”). This Privacy Policy explains what information we collect from website visitors and prospective clients, how we use it, and the rights and choices you have. It does not replace the privacy practices of the healthcare providers we serve.
Information We Collect
Information You Provide Directly
When you fill out our contact or audit-request forms, or communicate with us by email or phone, we collect:
- Your name, email address, and phone number;
- Your practice name, specialty, and approximate provider count;
- Details you share about your billing challenges, current systems, denial rates, or AR aging;
- Any other information you choose to include in messages to us.
Information Collected Automatically
When you visit the Site, we automatically collect your IP address, browser type and version, device type, operating system, referring URL, pages viewed, time spent on each page, and clicks. We collect this through cookies and similar technologies (see Cookies below) to operate and improve the Site.
Information from Third Parties
We may receive limited information from analytics providers and from social media platforms if you interact with our profiles there.
How We Use Your Information
We use the information we collect to:
- Respond to your inquiries and deliver the free practice audit, typically within 48 to 72 hours;
- Communicate with you about our services, including follow-up messages about your inquiry;
- Improve the Site, our services, and our marketing;
- Detect and prevent fraud, abuse, or security incidents;
- Comply with legal obligations and enforce our agreements.
We will not send you marketing emails unless you have requested information from us, and you may opt out at any time by replying “unsubscribe” or contacting info@netixmedicalbilling.com.
Protected Health Information (PHI) and HIPAA
As a medical billing company, Netix handles protected health information (“PHI”) on behalf of the healthcare practices it serves. In that role we act as a business associate under the Health Insurance Portability and Accountability Act (“HIPAA”). Our handling of PHI is governed by HIPAA and by a separate written Business Associate Agreement (“BAA”) signed with each client practice before we access any patient data.
Safeguards we apply to PHI include encryption in transit and at rest, role-based access controls so only authorized staff can view patient data, workforce training on privacy and security, and audit controls that log access to systems containing PHI.
If our safeguards ever fail and PHI is improperly accessed, we notify the affected client practice as required by HIPAA and the BAA so it can meet its own notification duties.
If you are a patient of a practice we serve, your practice’s own Notice of Privacy Practices governs your health information, and privacy requests about your medical records should go to your provider, not to us.
Important: this Site’s public forms are not a secure channel for patient information. Please do not submit diagnoses, treatment details, insurance ID numbers, or other patient health information through our contact or audit forms.
Cookies and Tracking Technologies
Types of Cookies We Use
- Strictly necessary cookies: required for the Site to function (security, load balancing, remembering cookie consent);
- Preference cookies: remember choices such as form inputs;
- Analytics cookies: help us understand which pages visitors use so we can improve content.
Your Cookie Choices
You can block or delete cookies in your browser settings. Blocking strictly necessary cookies may prevent parts of the Site from working. Our analytics do not track you across other websites.
How We Share Your Information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
We share information only in these cases:
- Service providers: hosting, website analytics, and email providers who process data on our behalf and are bound by confidentiality obligations;
- Legal requirements: when required by law, court order, or to protect our rights, property, or safety;
- Business transfers: if Netix is acquired or merged, your information may transfer as a business asset subject to this policy;
- With your consent: any other sharing you explicitly approve.
Data Security
We maintain administrative, technical, and physical safeguards designed to protect personal information, including encrypted connections, access controls, secure remote infrastructure, and staff training. No method of internet transmission or electronic storage is completely secure, so we cannot guarantee absolute security, but we work continuously to protect the data entrusted to us.
Data Retention
We keep personal information only as long as needed for the purposes described in this policy:
- Inquiry and audit-request data: retained while your inquiry is active and for a reasonable follow-up period afterward;
- Client records, including PHI: retained per the service agreement and BAA with each practice and applicable law;
- Marketing data: retained until you opt out;
- Legal holds: retained as required by law or litigation.
When data is no longer needed, we delete or de-identify it.
Your Privacy Rights
You may request access to, correction of, or deletion of your personal information by emailing info@netixmedicalbilling.com. We will verify your identity before responding and reply within a reasonable timeframe, subject to legal and contractual retention duties (for example, we cannot delete PHI we are required to retain under a BAA).
California residents have additional rights under the California Consumer Privacy Act (CCPA) as amended: the right to know what personal information we collect and why, the right to delete and correct it, the right to opt out of any sale or sharing of personal information (we do not sell or share as defined by the law), and the right not to be discriminated against for exercising these rights. To exercise them, contact info@netixmedicalbilling.com with “Privacy Request” in the subject line.
International Data Transfers
Netix operates in the United States, and information collected through the Site is processed and stored in the US.
Children’s Privacy
The Site and our services are directed to healthcare businesses, not children. We do not knowingly collect personal information from children under 13, and we delete any such information if we learn of it.
Third-Party Links
The Site may link to third-party websites, including our social media profiles. We are not responsible for the privacy practices of those sites; review their policies before providing information.
Changes to This Policy
We may update this policy as our practices change. The current version will always be posted on this page with a revised effective date. For material changes, we will also note the update on the Site.
